Start with the patient, not the platform
Most practices jump straight to "should I run Facebook or Google?" Wrong first question. The first question is who you want in your chair.
A patient who books because you're the cheapest is a patient who cancels when a cheaper option shows up. Build your offer and your ads around the outcome your ideal patient wants, and you filter for people who value care.
The three pieces that have to work together
A new patient system has three parts. Skip one and the whole thing leaks.
- Ads that stop the scroll and speak to a real problem.
- A funnel (landing page plus booking flow) that turns interest into a confirmed appointment.
- Follow-up that chases the lead so your front desk doesn't have to.
Plenty of agencies nail the first and ignore the other two. That's why you get "a lot of leads, not a lot of patients." The money is in the follow-up.
Why follow-up matters more than you think
Most leads don't book on the first touch. They fill out a form, get distracted, and move on. Without multi-step SMS and email (and increasingly, an AI receptionist that responds instantly), those leads die.

Track show-ups, not just leads
Leads are a vanity metric. The numbers that pay your rent are:
- Show-up rate
- Consults booked
- Care plans signed
If your reporting stops at "cost per lead," you're flying blind on the part that matters.
The honest truth about timelines
Some clients see booked appointments in the first few days. Others take a few weeks to dial in the offer and creative. Anyone who guarantees you a specific number by a specific date is either lucky or lying.
